Difference between calendar events and the Google Calendar integration


For several years now, Todoist users have been able to use the Google Calendar integration to sync scheduled tasks from Todoist to their Google Calendar, as well as sync events from Google Calendar to their task list in Todoist.

We have long wanted to introduce a way for users to time block their tasks in Todoist, and unfortunately that has not been possible with the Google Calendar integration.

Instead, we have now implemented calendar layouts, along with a way to see your actual calendar events directly in Todoist!

You can now see your events in Today and Upcoming views with their start and end times, calendar colors, and links to the calendar app they have synced from! 

Quick tip

You’ll soon be able to see those events in the Todoist calendar layout alongside tasks with a time and duration.

Overlap between features

If you have both the Google Calendar integration and the new calendar events feature enabled at the same time, you may see duplicated event data, like shown in the image below:

We are currently working on a refresh of the Google Calendar integration. Now that calendar events are an implemented part of Todoist, we’ll focus the integration on syncing tasks with a time and duration as events in Google Calendar in order to make sure that these events can be used for time-blocking.

Setup guide to use calendar events

1. How to avoid duplicate events

If you just want to see your Todoist events using the calendar events feature, we recommend using this setup with the Google Calendar integration:

  • Choose to connect with a new calendar rather than an existing calendar. The integration can automatically create a new calendar for you with the name Todoist.
    • Keep that calendar empty of events in order to avoid seeing those events synced as tasks in Todoist.
    • We’re working on the option to toggle which calendars you want to see events from in Todoist . By connecting to a new calendar, you’ll be able to hide the tasks created as events in that calendar, avoiding to see tasks duplicated.
  • Sync only with a specific project that will usually stay empty and where you don’t add durations to your tasks.
    • This ensures no tasks are added to Google Calendar as events by the integration.

Setting

  • Choose to not sync tasks with a due date that do not also have a due time and duration, in order to limit the possibility of tasks being added as events to GCal (from your synced project).

2. To see events in Todoist and tasks added as events in GCal

If you want to keep adding your scheduled tasks in Todoist as events in Google Calendar, know that the event will be fetched and shown in the new calendar events feature (regardless of whether it’s originally a task in Todoist).

Be aware that this can result in duplication of task information. For example, you may see an event in both the calendar events feature and as a task added by the Google Calendar integration.
